Privacy policy
Auxfield Labs, Inc. · Effective September 27, 2026
This policy describes how Auxfield Labs, Inc. (“Auxfield,” “we”)
handles personal information on auxfield.com, the mailing list, and the partner
portal (including sign-in, cloud, git, and talk). It covers visitors and partners.
Personnel records for people we employ are handled separately.
Who we are
Auxfield Labs, Inc. is a Wyoming corporation. Notices under this policy go to
legal@auxfield.com or Auxfield Labs, Inc.,
1603 Capitol Avenue, Cheyenne, Wyoming 82001.
What we collect
-
Mailing list. If you submit an email on the public site, we store
that address in Listmonk (list.auxfield.com) so we can send product
news. The form asks for an email and nothing else.
-
Portal account. Sign-in and partner invites create an account
in Authentik (auth.auxfield.com): name, email, username, and group
membership (for example whether an NDA is signed). We set a session cookie so
the portal can recognize you. We do not use advertising cookies or third-party
analytics on the public site.
-
NDA and contributor submission agreement. An invite records
your name, email, the projects named on the invite, and each agreement you
sign. The signed PDF is kept in Nextcloud. LibreSign stores the signature
and the time you signed. The NDA is kept only once both parties have signed.
-
Git and talk. If those are granted after signing, Forgejo stores
your account and contribution history, and Nextcloud Talk stores messages in
your private room with staff.
-
Invoices. If we bill you, Invoice Ninja holds the billing contact
and invoice status. Card and bank details, when a payment link is offered, are
collected by the payment processor named on the invoice. We receive payment
status, not your full card number.
-
Logs. Our servers record IP address, user agent, time, and the
URL requested. We use those logs to operate and secure the services.
Why we use it
We use this information to:
- send the updates you asked for, and stop when you unsubscribe;
- create and secure your portal account;
- prepare, sign, and keep confidentiality agreements;
- provide the cloud, git, and talk access your invite grants;
- invoice and collect fees under a license or order; and
- investigate abuse, keep backups, and meet legal duties.
We do not sell personal information. We do not share it for cross-context
behavioral advertising.
Who we share it with
Auxfield staff who need it for the purpose above can access it. The services
run on infrastructure we operate. We disclose information if the law requires
it, or to protect Auxfield, our partners, or the rights in our patents and
other intellectual property. A successor to the business may receive these
records as part of that transaction.
How long we keep it
- Mailing-list addresses until you unsubscribe, then deleted or suppressed so we do not email you again.
- Account, git, and talk data while the account is open, and for a short period afterward for security and backups.
- Signed agreements for the confidentiality period in the agreement and as long as we need them for legal and tax records.
- Security logs for a limited period, then deleted or reduced to aggregates.
Your choices
Unsubscribe with the link in a list message, or email
legal@auxfield.com. You may ask us what
personal information we hold about you, ask us to correct it, or ask us to
delete it. We will honor a deletion request unless we need the record to
complete a contract you signed, secure the services, or meet a legal duty
(a signed NDA is that kind of record).
If you are in the European Economic Area or the United Kingdom, the mailing
list is based on your consent, and a portal account or NDA is based on the
contract you are entering. You may lodge a complaint with your local
authority. If you are a California resident, you may request access,
correction, or deletion as described above. We do not sell personal
information, and we do not offer a financial incentive for it.
Children
The site and portal are not directed at anyone under 16, and we do not knowingly collect their information.
Where we process it
We process this information in the United States.
Changes
If we change this policy, we will post the new version on this page and
change the effective date. If a change materially affects the mailing list,
we will also say so in a list message.
